What we collect and why
We use your contact details, suburb, flooring requirements and any photos to answer your enquiry, assess the job, prepare a quote and arrange work you agree to. The website form requires your name, phone number and suburb. Email, job details and photographs are optional. Without the required details, the form cannot send your request; you can call or text instead.
Please send only information relevant to the flooring job. Avoid photos of people, personal documents or valuables. A quote enquiry is not permission to add you to a marketing mailing list or publish your photographs.
Where your enquiry goes
This website uses OpenAI Sites with Cloudflare hosting, database and file storage. Enquiry details and optional photographs are kept in the website's private storage, accessible through the authorised owner account. FormSubmit handles email notifications to Scott Flooring's Microsoft Outlook inbox. Photo files are not attached to those notifications; they are viewed through the private owner area.
These providers may process information outside New Zealand. Scott Flooring remains responsible for its handling of your information. Provider processing, security records and backup arrangements also depend on their services and terms. We do not claim that all data is stored in New Zealand.
How long information is kept
We review enquiries that have not become jobs and quote photographs after 12 months, and remove information that is no longer needed. This is a review point, not automatic deletion. Records still needed for agreed work, customer support, an unresolved issue or legal recordkeeping are kept for the applicable period. Required accounting records are generally kept for seven years; this does not mean every enquiry or photograph needs to be kept that long.
FormSubmit describes a 30-day submission archive. That period does not delete Scott Flooring's separate website records, uploaded photos, inbox copies or provider backups. A removal request needs these locations checked separately. We will explain any information that must be retained and any provider-backup limits relevant to your request.
Cookies, security and visit counts
The hosting platform uses visitor and security cookies. The site also uses session storage to remember a broad referral source, such as Bing or Facebook, during your browser session. We count page views, contact-button clicks and received enquiries by broad source; these counts do not contain your name, email, phone number or photo contents. A click is not proof that a call was completed.
Our measurement code respects the browser's Do Not Track setting. Necessary security and anti-spam processing can still occur, including short-lived records derived from the connection's IP address. The site does not use advertising pixels or remarketing trackers. Blocking browser storage or cookies may affect some site or security functions; you can still contact us directly.
Access, corrections and removal requests
Contact scottflooring@outlook.co.nz or call to ask for a copy of your information, correct it, or request removal of information no longer needed. Include your enquiry reference if you have it. We may need to confirm your identity before releasing or changing information. Please do not email identity documents unless a suitable verification method has been agreed.
Access requests generally require a decision within 20 working days. If a lawful extension or withholding ground applies, we will explain it. You can also ask for a statement of correction to be attached if a requested correction is not made.
Referrals and privacy concerns
If someone such as a builder or property manager gives us your details, we need to consider the applicable notification requirements and tell you about the collection as soon as reasonably practicable, unless an exception applies. Please make sure you are authorised to share another person's details.
